Fulfill orders with Square

About order fulfillment 

With Square Order Manager, you can manage and fulfill all your orders across multiple channels, both online and directly from the Square point of sale apps. You can also view activity logs to see each stage of the order flow.

Before you begin

Follow the steps in Set up Order Manager before completing the steps in this guide.

When fulfilling orders via Square Dashboard and Square POS apps, you can search and filter orders by order types, order status, order source, and payment source. You can also sort orders by time created, fulfillment time, customer name, and order total.

Order types

Each pickup order will fall into one of the following fulfillment types to help you manage your orders at a glance — curbside, pickup or digital.

Order status

Each order falls into one of the following fulfillment statuses:

  • All: View all orders in any status.
  • Active: All orders that need to be accepted, or orders in progress (i.e. not completed).
  • New: All orders awaiting action. If auto-printing is enabled on your Square POS app, new orders will print as they come in.
  • In Progress: Orders being prepared.
  • Ready: All orders ready for pickup (by customers or shipment carriers).
  • Completed: All completed or canceled orders.

Order source

In addition to the order status, you’ll also see a breakdown of orders by Source. For example, if you have active orders coming in from Square Online and third-party delivery partners, you’ll see both online ordering platforms listed.

If you do not have active orders for a particular platform, you will not see it listed. Orders will appear top-down, from newest to oldest.

Payment status

  • Awaiting payment
  • Completed, Paid
  • Canceled, Paid
  • Canceled, Unpaid

Activity log

An activity log displays important events that occurred throughout your order’s timeline. You can select an order to access the log via your Square POS app or Square Dashboard and use this information to understand when and what specific changes to the order took place.

Manage fulfillment status

Once you’ve received an online order or manually created an order from your point of sale or Square Dashboard, you can move the order along the fulfillment flow. 

From Square POS apps

  1. Tap ≡ More > Orders.
  2. Locate and tap the relevant order.
  3. Tap Mark as… and select In progress, Ready, or Picked up. If there are multiple items in an order and aren’t available at the same time, tap Select items to coordinate.

From the Square Dashboard

  1. Sign in to your Square Dashboard then go to Items & orders > Orders > All orders.
  2. Locate the order to fulfill.
  3. Click (•••) next to ‘Status’ or select the order to open the information panel.
  4. Select Mark as… then select In progress, Ready, or Picked up.

Bulk edit orders

Bulk actions allow you to efficiently manage orders at scale, whether you want to progress, print, or close out orders quickly. You can bulk edit from the Square POS app, Square Retail POS app, and Square Dashboard.

Square POS and Square Retail POS

  1. From the app, go to ≡ More > Orders.
  2. Tap Actions.
  3. Select the relevant orders. 
  4. Choose one of the following options: Mark as in progress, Mark as ready, Mark as complete, or Print.

Square Dashboard

  1. Sign in to your Square Dashboard and go to Items & orders > Orders > All orders.
  2. Click Edit orders.
  3. Select the relevant orders, then choose one of the following options: Mark as in progress, Mark as ready, Mark as complete, or Print.
  4. Click Done editing once you’re done.
