Edit items with Square for Franchises

    With the price editor, you or your franchisees can view and update item prices for all of their locations from one place. You can edit individual items across locations or edit items in bulk.

    Variation groups are used to manage varying prices across menus. A variation group is a group of items that are considered as versions of an item. For example, you can create options for sizes, like small, medium or large. Store items connected to the variation group can have their own prices and their own menu connection, but they are stored and managed from the variation group page.

    Before you begin

    You can also create items from your Square Dashboard, Square Retail POS app on iOS or Retail POS app on Square Register or Square Terminal.

    Every item that you wish to sell on the online ordering page in Square for Franchises must first exist in your Square Point of Sale. 

    When adding a new item in Square for Franchises, ensure it is linked to the appropriate menu and category. Each item must belong to a menu and a category in Square POS and Square for Franchises.

    When you sync information between your Square Point of Sale and Square for Franchises, the sync will update:

    • Items: availability, pricing, connections, internal names, minimum/maximum selection of required modifiers and modifier groups

    • Categories: availability, internal names, new items and minimum/maximum selection of required modifiers

    • Modifier Groups: availability, internal names, new modifiers, minimum/maximum selection of required modifiers and required modifiers

    • Modifiers: availability, pricing, internal names

    To set an item-specific prep times, contact your account manager or Square Support.

    Create and edit items

    1. Sign in to your Square for Franchises dashboard, then go to Operations and select Menu management.

    2. Select the Items tab.

    3. Click Add.

    4. Fill in details, item attributes and price.

    5. Click Create.

    Create and edit item groups

    An item group consists of one or more items and acts as a virtual layer. Item groups will not appear in Square POS as they are not supported.

    1. Sign in to your Square for Franchises dashboard, then go to Operations, and select MenuManagement.

    2. Select the Item Groups tab.

    3. Click Add.

    4. Fill in details, item attributes and price.

    5. For Target, select Online.

    6. Click Create.
       

    7. Then, add the relevant items from the appropriate categories to the item group, ensuring they align with the intended structure and organization within the system.

    Import item categories

    An item category organizes menu items into groups of similar products.

    1. Sign into your Square for Franchises dashboard, then go to Operations, and select MenuManagement.

    2. Select the Categories tab.

    3. Click Add.

    4. Search for and select the category in Square POS.

    5. Click Save and Add Connection.

    6. Under Connections > Menus, click + Add Connection to attach the category to your existing menu.

    Create a variation group

    1. Sign in to your Square for Franchises dashboard, then go to Operations, and select Menu Management.

    2. Select the Items tab.

    3. Select Add.

    4. Fill in the required information such as title, descriptions and other attributes.

    5. Under Variations, set the price and the first variation.

    6. Add additional variations by selecting Add Variation.

    You can view your variation groups on the Items tab.

    Set item prep time

    Prep time refers to how long it takes to prepare items and orders for pickup and local delivery. This helps with providing accurate timing to customers who select pick up or delivery. You can set an average prep time or a dynamic prep time based on order value or a set schedule. To configure prep time:

    1. Sign into your Square for Franchises dashboard, and select a location that is not your merchant-level location from the drop-down menu. 

    2. Go to Settings, and select PrepTime.

    3. Edit the average order prep time as needed.

    4. Optionally, set additional times for customer notifications for pick up and delivery.

    5. Optionally, toggle on Dynamic preparation time if desired, and select either By Price or By Schedule.

      • By Price: Enter a range for the order total, a prep time and a delay prep time. Add intervals as needed.

      • By Schedule: Click Create New Window, select days and edit times as needed. Click Save.

    6. Click Save.
