Schedule item availability and counts

  • Account owners or team members with item and inventory permissions to update item availability, modifier availability and stock counts on your point of sale. Set permissions in the Square Dashboard.
  • About resetting item availability

    Automatic inventory resets allow you to set a specific day and time for the items marked as sold out to automatically reset, or use your business’ end of day to keep your stock counts accurate and up to date.

    Before you begin

    You have two options for scheduling inventory resets:

    • Schedule an inventory reset from the Square Dashboard on a laptop or desktop computer

    • Schedule an inventory reset from your point of sale app and devices

    Make sure you’ve created at least one item in your item library before scheduling an inventory reset. Learn more about how to create and edit items with Square.

    Reset item availability and counts

    Effective scheduling of item availability ensures that products are consistently available to meet customer demand while optimising storage and reducing costs.

    Once you schedule an automatic reset time, a calendar icon will appear on the item’s status pill in your Item Library.

    Schedule an inventory reset for an item without variation

    1. Sign in to Square Dashboard and go to Items & menus (or Items & inventory) > Items > Item library.
    2. Click the status pill next to the item you want to schedule a reset for.
    3. In the availability popover/modal, select the availability status pill.
    4. Click Reset.
    5. In the Quantity field, enter the number you want to reset to. Leave blank to reset to unlimited.
    6. Select a reset schedule, or select Custom to enter a specific date and time.
    7. Click Save.

    Schedule an inventory reset for an item with variations

    1. Sign in to Square Dashboard and go to Items & menus (or Items & inventory) > Items > Item library.
    2. Click the status pill next to the item you want to schedule a reset for.
    3. In the availability modal, select the variation you want to update.
    4. Select the availability status pill.
    5. Click Reset.
    6. In the Quantity field, enter the number you want to reset to. Leave blank to reset to unlimited.
    7. Select a reset schedule, or select Custom to enter a specific date and time.
    8. Click Save.

    Schedule an inventory reset

    1. Open your point-of-sale app and tap ≡ More.
    2. Tap Items > All items.
    3. Tap on the item you want to schedule an automatic reset.
    4. Tap Available or Sold out under the Price and inventory section.
    5. Select the reset availability row.
    6. Choose the date and time.
    7. In the Quantity field, enter the number you want to reset to. Leave blank to reset to unlimited.
    8. Select a repeat cadence. The reset can be a one-time reset, or repeat daily or weekly.
    9. Tap Done.
    10. Review your changes and tap Done > Save.

    Set up a negative stock warning

    1. Open the Retail POS app and tap ≡ More from the navigation bar.

    2. Tap Settings > Checkout.

    3. Tap Negative stock warning and toggle on Show warning.
