Onboard your company to Square

Who is this article for?
Only individuals authorised to act on behalf of a business entity (Square account owners) can onboard their business to Square.

About onboarding your company with Square

If you are signing up as a proprietary limited company (Pty Ltd) or a Public company (listed or unlisted), we are required to collect and verify certain information about your business. You must also provide basic business information, including the Australian Business Number (ABN) and Australian Company Number (ACN). 

When applying for a Square Account, please note that you may not be able to use our services or deposits may be suspended if we do not receive all of the information or if we require further documentation to comply with obligations under the Anti-Money Laundering and Counter-Terrorism Financing Act of 2006.

This onboarding guide is for registered companies only. If you are an individual or sole proprietorship business, refer to Onboard your individual or sole trader business to Square for more information.

Before you begin

You can complete company onboarding from your Square Dashboard on a desktop or laptop computer.

Make sure you have:

  • A supported browser: Google Chrome, Safari, or Firefox.

  • Your company’s ABN and ACN.

  • Your registered office address and principal place of business.

  • The full legal names, dates of birth, and current residential addresses of all directors and beneficial owners (25%+).

  • Accepted identity documents for each relevant individual, such as:

    • Australian driver’s licence (both licence number and card number)

    • Passport

    • Medicare card

All documents you upload must be clear, legible, and in PDF, JPEG, JPG, PNG, or TIFF format, and up to 25 MB in size.

Step 1: Create a Square account

  1. Go to squareup.com or download the Square Point of Sale app.

  2. Enter and confirm your email address, then create a password.

  3. Choose Australia as your country and follow the prompts to set up your new Square account.

If you have multiple locations under the same ABN, you can manage them later from your Square Dashboard, but you cannot change the ABN once you’ve registered. 

Step 2: Tell us about your business

During sign-up, you’ll be asked to select:

  • Your business type – choose Company (Pty Ltd).

  • Your business category and subcategory, which help Square classify your business correctly behind the scenes (e.g. Merchant Category Code).

Choosing the right business type and category helps ensure you get the appropriate features and that we can correctly classify your account for compliance and card network requirements.

Step 3: Enter your Pty Ltd company details

On the Business information page in your Square Dashboard, you’ll be asked to provide:

  • Your ABN (11-digit identifier issued by the ATO).

  • Your registered office address.

  • Your principal place of business.

Step 4: Add directors and beneficial owners

Next, you’ll need to tell us about the individuals who control your company:

For all directors and all beneficial owners (anyone who directly or indirectly owns or controls 25% or more of the company), provide:

  • Full legal name

  • Date of birth

  • Current residential address

  • Their role (e.g. director, shareholder, beneficial owner)

Step 5: Verify identities and company information

Square performs identity and business verification to meet AUSTRAC requirements.

Personal identity verification

For each relevant individual (including the primary account holder, all directors, and beneficial owners), Square may verify their identity using their:

  • Australian driver’s licence (both licence number and card number are required)

  • Passport

  • Medicare card

You’ll be prompted to enter or upload details for these documents during onboarding or in follow-up requests from the Account Services team.

Company-level checks

Square may also:

  • Cross-check your ABN and ACN against external registries.

  • Ask for Company reports of overseas based companies.

Step 6: Track your verification status

Once you’ve submitted your information and any required documents:

  1. Go to your Setup Guide from the Square Dashboard (clipboard icon).

  2. Look for one of these statuses:

    • Verify your identity – more identity information is required before you can take card payments.

    • Pending verification – your information is under review; you’ll receive an email and Dashboard notification once it’s complete.

    • Verification declined – resubmission requested – you’ll be asked to upload clearer copies of documents if quality was an issue.

    • Verification declined – your account can’t be activated for card payments, but you can still use Square Point of Sale to record cash and other tender types.
